Guests & invites

How do invite links work?

Every guest gets one personal link (ending in ?g=…). It shows their name, records when they first open it, and saves their RSVP to their record. Links are not shareable — anyone who opens someone else's link sees that person's invitation and can RSVP as them. Send each guest only their own link.

What do the event tags mean?

Your one guest list powers every event. Tagging a guest to an event puts them on that event's page, emails, and seating chart:

  • 📅 Save the date — receives the teaser.
  • 💌 Wedding — receives the full invitation and wedding RSVP.
  • 🍻 Bach party 1 / Bach party 2 — two independent parties (see Parties & showers).
  • 🎁 Wedding shower — the shower page and emails.

Tag people from the guest drawer, the 🗂 Assign view (one column per event — click any cell), the bulk "Tag to…" bar, or each event's Guests panel. A guest can be on any combination of events.

Why is there no RSVP status next to a new guest?

Status stays blank until that guest has actually been sent an e-invite (or has opened one, or replied). "Pending" only appears once there's something to be pending about — so your list reads honestly at a glance.

A guest lost their link or never got the email

Click their row in Guests, then either:

  • Copy link — paste it into a text message to them, or
  • Send invite — emails it to them again instantly.

Both work even if they were already invited.

Can a couple or family share one invitation?

Each guest can bring the people tied to their invitation — you control exactly who. In the guest drawer, set Adult plus-ones allowed (0 = none, 1 = one partner, up to 10), and add plus-ones and children as named party members, each with their own meal, allergies, and (for kids) age range. Children never count against the plus-one allowance. On your guest list there's a +1 column to set allowances in one click (0 → 1 → 2 → 0), and a +1 for all button to allow one adult plus-one for everyone at once — Undo included. Planning an adults-only wedding? Untick Children welcome in E-invitations → Wedding and guests can't add kids. Families still work: a parent with 0 adult plus-ones can still list their children as Child rows.

What does the "Opened" column mean?

The date they first opened their invitation. Later opens aren't re-counted. City/country is captured on that first open too, when available.

The meal options aren't my menu

The meal field accepts anything — type your own dish (e.g., "Chicken parm," "Vegan"). Suggestions appear as you type, built from what you and your guests have used before. Custom entries flow into the caterer's meal tally automatically.

Where do allergies go?

Guest drawer → Allergies / dietary notes. It's saved on the guest and appears in the CSV export under "Dietary" — your caterer sees it next to the meal tally.

RSVPs

How does the wedding RSVP work?

Guests tagged to 💌 Wedding get the RSVP form on their personal invitation — accept/decline, party size, meal, dietary notes, plus-one (if you allow it), and a message for you. Everything flows into your headcount, meal tally, and exports.

How do party RSVPs work?

Each Bach party and the shower has its own RSVP on its own page — completely separate from the wedding. Guests tagged to that event RSVP there with one tap (count me in / can't make it + party size). Perfect for headcounts on catered parties.

What does "RSVP required" and "RSVP by" do on a party page?

RSVP required is a switch: on = guests see the RSVP box, off = the box disappears entirely (for casual, no-headcount events). RSVP by sets a deadline that guests see on the page ("Kindly RSVP by Friday, November 20"). Older pages default to RSVP-on, so nothing changes until you touch it.

Can I ask guests my own questions on the RSVP?

Yes — Premium & Deluxe. In E-invitations → Wedding, the Extra RSVP questions box takes one question per line ("Are you taking the shuttle?", "Song request?"). Guests answer right on the RSVP form, and answers appear in their guest drawer and as extra columns in your guest-list CSV. You can ask up to 10.

A guest replied by phone or text — how do I record it?

Click their row → RSVP (for phone/text replies) → pick the event, set their response, party size, meal, plus-one, and any note → Save RSVP. Their entry updates everywhere instantly.

What's the difference between Accepted / Declined / Pending?

Accepted counts toward your headcount and meal tally. Declined isn't coming. Pending hasn't replied (and only shows after they've been invited). "Reset to pending" undoes a recorded RSVP if someone changes their mind before you've told the caterer.

Can a guest change their RSVP after submitting?

Yes — their page lets them edit and resubmit, and the latest response is what counts. Use "Reset to pending" from your side if you ever need to clear it manually.

What is the "Response rate" stat?

The percentage of invited guests who have replied (accepted + declined ÷ total). It's a quick health check a week before your RSVP deadline — if it's under ~70%, hit "🔔 Remind pending."

Parties & showers

Party & shower pages, their emails, and per-event RSVPs are a Premium/Deluxe feature — Free covers the wedding itself.

What are Bach party 1 and Bach party 2?

One Bach party scope with two fully independent events. Each has its own page (/w/your-names/bach-1 and /bach-2), its own guest list, its own emails, and its own seating chart. Use them for the two partners separately, joint + separate, or whatever fits — the names aren't gendered. Only need one? Leave Bach party 2 blank and it stays out of the way.

How do I set whose party it is?

Each party page has a Whose party field. Type a name (e.g., "Akino") and the page becomes "Akino's Bach party 1" — the couple's names aren't shown at all. Leave it blank to keep the couple's names.

What can I put on a party or shower page?
  • Headline — "One last rodeo 🍻"
  • Whose party, Hosted by, Contact for questions
  • Date & time, Location (links to Google Maps)
  • The plan (parties) or Registry note (showers)
  • Dress code, Cost and What to bring (parties)
  • RSVP required switch + RSVP by deadline
  • A photo or video

Everything shown on the page is editable in its panel — nothing is hardcoded.

How do guests get to a party page?

Tag them to Bach party 1 (or 2) in the event's Guests panel, then send from the Emails tab — the Bach party card has a "Which event?" selector so you only email that event's list. The email contains their personal link with one-tap RSVP. You can also copy the page link from the panel and share it anywhere (text, WhatsApp).

What happened to Bridal shower / Bachelor(ette)?

Renamed and consolidated: it's now the gender-neutral Bach party (two events) and Wedding shower. Any pages or links created under the old names still work — old content migrates into Bach party 1 and 2 automatically the first time you open the dashboard after the update.

Emails

What does each send button do?

Everything is sent from the Emails tab, one card per event:

  • Save the Date — the teaser email; your site stays in save-the-date mode. (Paid plans)
  • Wedding — the real invite. This publishes your full website the moment it sends.
  • Bach party 1 / 2, Wedding shower — that event's page to its own list (pick which bach party with the selector).
  • Gentle Reminders — nudges only guests who haven't replied (wedding) or everyone on a party list. (Premium/Deluxe)
  • Week-of Details — date, time, venue & map; only to wedding guests who accepted. (Premium/Deluxe)
  • Send test to me — a [TEST] preview emailed to you only; its button opens your real site.
Why did "Send to all guests" skip some people?

Send-once protection: anyone who already received that exact email at their current address is skipped, so you can't spam guests by sending twice. Guests who are new or whose email changed since the last send will receive it. To resend one specific person, use the Send button inside their drawer.

A guest says they never got the email
How do automatic reminders work?

Set rules like "once, 30 days before the wedding, to guests who haven't replied." The system checks hourly and sends automatically — each rule fires once per guest. Requires your wedding date to be set. The manual "Remind pending" button is always there too. (Premium/Deluxe — the schedule editor is hidden on Free)

Is there a record of what I sent and when?

The guest drawer shows a send line ("💌 Invitation sent Jun 12…") for anything sent from your current browser session, and broadcasts track delivery on the server. If you need a full audit trail, contact support — delivery history is kept per guest email.

Announcements & updates

How do I tell guests about a date or location change?

Change the details in the Details tab and save — your pages update instantly for anyone who opens a link. You'll then be prompted to send an announcement email to that event's guests (or skip and send it later). You can also send one any time from the Emails tab → 📣 Announcement card, per event — pick what changed (new date, new time, new location) and it goes to exactly that list with a button to their updated personal page.

Do guests get a confirmation when they RSVP?

Yes. After submitting, guests get an email confirmation — accepts include an add-to-calendar file (.ics) with the date, time and venue, plus their personal link. Declines get a short "you'll be missed" note. If a guest changes their answer, the confirmation reflects the latest one.

What is the daily summary email?

An optional once-a-day digest to your email: new accepts, new declines, anyone who changed their answer, invitation opens, and how many scheduled reminders went out. It only sends when there's actually news. Turn it on in Details → Exports → 📬 Email me a daily summary. (Premium/Deluxe)

How do I cancel a party or shower?

Open that event's panel in E-invitations and click 🚫 Cancel — guests tagged to it get a cancellation email, its page shows a cancelled notice, and RSVPs for it close. To bring the event back, edit and re-save its panel. (Wedding dates change via the announcement instead — a wedding isn't "cancelled" here.)

Can a guest remove a plus-one or child from their RSVP?

Yes — they open their invitation, tap Edit response, and hit the ✕ on that person's row (or you can do it from their guest drawer). The headcount and meal tally update immediately.

Your website

What's the difference between the Save-the-Date site and the Full Invitation?

Two independent pages you edit separately under E-invitations. The teaser shows names, date, a venue line and a short story only — with the "Save the Date · Formal invitation to follow" ribbon and no RSVP. The full invitation shows everything: story, the day-of timeline, reception, accommodations, travel, good-to-know (dress code, parking, things to do, FAQ), registry, gallery, and the RSVP. Guests automatically see whichever is live: teaser until the full invitation is sent, full site after.

What can I edit on the wedding invitation?

Everything you see is editable in E-invitations → Wedding: date & time, venue name and address, story (headline, text, photo/video), the day-of timeline (ceremony, cocktail hour, dinner, dancing — your real times), reception card, accommodations card (leave blank to hide it), travel & accommodations, dress code, parking & transportation, things to do nearby, FAQ, questions contact, registry links, and the photo gallery. Ceremony basics also live in Details — both panels edit the same fields.

What can I edit on the save-the-date?

E-invitations → Save the date: the date on the teaser, an optional venue line, a story headline, the teaser text, and a photo or short video. That's deliberately all a save-the-date needs.

What does the Preview button show?

Exactly what recipients will see — including text you've typed but not saved yet. Nothing is sent. For Bach party it shows both events stacked, and the public link(s) appear at the bottom.

Do the event pages mention each other?

No — every page stands alone. The wedding invitation never mentions the parties or shower; each party/shower page shows only its own event; the save-the-date shows only the teaser. Guests only ever see what they're tagged to.

Can I change how the invitation looks?

Yes — 8 design themes (Classic Emerald, Black Tie, Olive Grove, Rosewood, Midnight Navy, Royal Plum, Terracotta, Champagne), each with its own palette and typography. Pick it in Details → Wedding details → Design theme and save; guests see it instantly. Themes are a Premium/Deluxe feature — Free stays Classic Emerald.

Can I add a video to the invitation?

Yes — Premium & Deluxe. In E-invitations → Wedding, the Personalized welcome video field accepts a short clip; it plays right inside the invitation ("▶ Watch your personal message"). Upload a new one any time to replace it.

Can I edit the website after sending?

Yes — edits take effect immediately for anyone who opens the link. Editing never re-sends emails.

Can I unpublish and go back to save-the-date mode?

The dashboard treats publishing as one-way — guests who received the full invitation have already seen everything. If you have a genuine emergency, contact support.

What's the public website address?

Details → "Public website address" gives you a shareable link (ivow.ca/w/your-names) that shows the invitation content with an "open your personal link to RSVP" note. Party pages have their own addresses (/bach-1, /bach-2, /wedding-shower).

Lists, deletes & undo

How do I add lots of guests at once?

Guests → + Add guests → paste lines (Name, email, phone, group) or upload a CSV/Excel file. Duplicate names or emails already in your list are skipped automatically and shown to you before importing.

How do I delete guests?

One: open their row → "🗑 Delete this guest…". The guest moves to Guest trash for 30 days; the brief Undo button restores that same record.

Many: tick checkboxes → "Delete…". All matching guests move to Guest trash together and remain recoverable for 30 days.

I deleted someone by accident!

Open Guests → Guest trash and click Restore. This works for single and bulk deletions. The original guest ID, details, RSVP history, activity, seating, and invitation link return — no need to resend solely because of the restore.

I deleted my whole wedding by accident. Can it be restored?

Yes — deleted weddings enter a 30-day recovery window. Contact iVow support promptly. An owner can use Admin → Recovery → Restore wedding to bring back the wedding and its related guest, RSVP, seating, page, note, task, payment, and settings data.

While deleted, the wedding and guest links are inactive. After the retention period or owner-confirmed permanent deletion, restoration is no longer available through the app.

What exactly breaks when I delete a guest?
  • Their invite link stops working immediately ("Invitation not found").
  • They're removed from every event's list, stats, headcount, and meal tallies.
  • Their open-tracking, RSVP timestamps, activity, and seating are preserved in the recovery record and return when restored.

While in trash, the guest is removed from active lists and their link does not accept normal access. Restore returns the original link. After permanent deletion or the 30-day retention period, recovery is no longer available in the app.

Can I select many guests and do things in bulk?

Yes — tick the checkboxes (or the select-all box in the table header) and a green bar appears with Send invite (the right email for the event you're viewing), Tag to… any event, Delete…, and Clear. Checkbox ticks never open the guest drawer — click anywhere else on the row for that.

What are the QR cards for print?

One printable card per guest, each encoding their personal link. Restoring a deleted guest reactivates that same link, so an existing QR works again. Reprint only when a permanently deleted guest is later added as a new record.

Account & exports

Which plan am I on, and how do I upgrade?

Your plan shows in the dashboard sidebar, right under your email — as a pill (Free, Premium, or Deluxe) with a separate Upgrade link. Click it to see all three tiers side by side. The shape is simple: Free covers one wedding — up to 30 guests, wedding invitations only. Premium ($59 one-time) covers up to 150 guests with everything unlocked: save-the-dates, parties & showers, seating, themes, welcome video, custom RSVP questions, exports and reminders. Deluxe ($99 one-time) is unlimited guests with the same full feature set. Upgrading is a one-time payment — your guest limit rises immediately and nothing about your wedding changes or gets reset.

How many guests can I invite?

Free: up to 30 guests. Premium: up to 150. Deluxe: unlimited — and each import accepts up to 1,000 rows per batch. If you're on Free and import more than 30, the import pauses with a clear message — upgrade or trim the list, then import again.

How do I log in, and how long does it last?

Enter your email on the dashboard → we send a 6-digit code → done. No password. Sessions last 12 hours, then you'll verify by email again.

Can I change the wedding date, venue, or RSVP deadline?

Yes — Details has wedding date & time, timezone, venue name/address, and the RSVP deadline. The same date and venue are also editable right inside the Save-the-Date and Wedding panels, so you can adjust while you edit. Changes appear for guests immediately.

What can I download?
  • Guest list (CSV) — per event or everyone: names, contacts, groups, invitation-sent status, RSVP, event RSVPs, meals, dietary notes, open/respond dates. (Premium/Deluxe)
  • Meal tally (caterer) — each dish × how many, from accepted guests. (Premium/Deluxe)
  • Seating CSV — table, seat, every occupant with meals and dietary. (Premium/Deluxe)
  • QR codes for print — one card per guest. (Free)
Can I manage more than one wedding?

Yes — if the same email owns multiple events, a switcher appears in the dashboard header. Test couples included.

How long do I keep access to iVow?

Free: 12 months from when you created your wedding. Premium/Deluxe: 24 months from purchase. Fixed windows — renewing (or upgrading) restarts the clock with a fresh window.

What happens when my access window ends?

Your dashboard becomes read-only: you can still view everything and download your exports, but edits and sends pause. Your guest pages and RSVPs stay live, and nothing you built is deleted. Renew any plan to pick up exactly where you left off.

How do I renew or extend my access?

Click Renew on the expiry banner or the renewal screen — same one-time plans as always, and your window restarts fresh for another 24 months.

What currency am I charged in?

Your choice. Open the plans popup (or the pricing page) and pick a currency (CAD, USD, EUR, GBP, AUD, INR) — prices convert so you can see the equivalent. iVow is Canadian, so the charge itself is always in CAD.

Can guests see the invitation in other languages?

Yes — guests can switch the invitation page between English, French, Spanish, Punjabi, Mandarin, and Arabic using the invitation’s language selector (or their browser language is detected automatically). Built-in labels and iVow’s sample content are translated; your own custom writing stays exactly as you wrote it.

How does the Budget tab work?

Dashboard → Budget (between Details and Notes & to-dos). Set your total wedding budget — or a price per guest, which tracks your guest list live — then create as many budgets as you like ("Wedding", "Honeymoon", "Bach weekend"), each with its own heading, expense rows, and check-offs. Totals move as you type, and one click exports CSV. Deleted expenses and budgets rest in the tab's Trash for 30 days — restore anything back to its category. Nothing is shared with guests; it's private to you and your partner. (Premium/Deluxe — the tab appears when you upgrade.)

How do thank-you emails work?

Emails tab → 💚 Thank-you card: one click sends a thank-you to everyone who attended that event (RSVP'd yes). Tick "Automatically send after the event" and iVow handles it for you — each scope fires once, shortly after its date passes. (Party thank-yous need Premium/Deluxe.)

Notes & to-dos

What is the Notes & to-dos tab?

A private workspace shared between you and your partner — couples never see it, guests never see it. Two panels: Notes (a running notepad) and a To-do list (tick things off as you go). Everything saves to your wedding automatically and appears on both partners' devices.

What does "Now viewing" do?

It's the scope switcher. Pick Bach 1, Wedding, or any event and both panels show only that event's items — each scope is its own clean space. New items go into whichever scope is selected, and the ⇄ button on any line moves or copies it between scopes. General is for things that aren't tied to one event.

What do the colored dots mean?

On to-dos, the dot is the item's priority — 🔴 urgent, 🟠 high, 🟢 normal, ⚪ low. Click the dot (or the date next to it) on any line to change the date, time, or priority after the fact. On notes, the dot is an optional category (🎁 Gifts, 📋 Planning, 💰 Money, 💡 Ideas, 🚨 Urgent) — click to cycle.

Can I reorder items?

Yes — drag the ⠿ grip on any line (desktop), or use the ▲▼ buttons (works on phones). The order is saved.

What happens when I delete something?

Deleted notes and to-dos rest in the Trash section at the bottom of the tab for 30 days — restore anything with one click, or empty the bin. After 30 days they're gone for good.

Due dates, urgency, and the blinking alerts

Tap + due when adding a to-do (or the dot/date on any existing line) to set a date, time, and priority — all optional, editable anytime. Only a date is required for a deadline; a blank time means 9:00 AM. Urgent items due within 48 hours (high within 24) get a big blinking dot, and when something goes overdue the whole line pulses — it stops the moment you tick it off. Alerts re-check themselves every minute.

Can I search and filter the lists?

Yes — the search box finds anything across every scope, and the two filter dropdowns (priority and date: today, this week, overdue, no date) narrow the to-do list.

What are private guest notes?

Open any guest's profile from the Guests tab and you'll find a "Private note about this guest" field — only you and your partner can see it. Perfect for seating rationale, plus-one names, or "terrible dancer, seat near the bar."
